Daily, you'll oversee front desk operations, greet visitors, and manage incoming calls to provide exceptional first impressions. Weekly, coordinate office supplies procurement, vendor relationships, and facility maintenance to keep everything running flawlessly. Monthly, you'll prepare operational reports, track budgets for office expenses, and organize team-building events to boost morale. You'll collaborate closely with HR on onboarding new hires, facilities on repairs, and executive teams on special projects like office relocations or expansions. Expect to lead a small administrative team, delegate tasks, and monitor performance metrics such as response times and cost savings. Additionally, you'll manage mail distribution, travel arrangements for staff, and compliance with health and safety protocols, delivering measurable improvements in operational efficiency. To succeed, you'll need a bachelor's degree in business administration, management, or a related field, plus at least 5 years of progressive experience in office management, ideally within the beauty, consumer goods, or creative industries. Proficiency in Microsoft Office Suite, Google Workspace, QuickBooks for basic accounting, and facility management software is required. Familiarity with Los Angeles vendor networks and knowledge of California labor laws will set you apart. Professional certifications like Certified Manager (CM) or Project Management Professional (PMP) are highly valued, along with a valid driver's license for occasional errands.
