Full Description
Job Overview
HACE, a leading Hispanic American Construction Industry Association based in Chicago, Illinois, is seeking a dedicated Administrative Coordinator to join our non-profit team. In this vital role, you will provide essential administrative support to ensure the smooth operation of our organization, which focuses on empowering Hispanic professionals in the construction industry through advocacy, training, and networking. As a key team member in our volunteer-supported environment, you will contribute to initiatives that promote economic development, workforce training, and community engagement within the Latino construction sector.
Key Responsibilities
The Administrative Coordinator will manage day-to-day office operations, including scheduling meetings, coordinating events, and handling correspondence for staff and volunteers. You will prepare reports, maintain databases of members and volunteers, process invoices, and assist with grant applications and fundraising activities. Additionally, you will serve as the first point of contact for visitors, partners, and stakeholders, ensuring professional communication via phone, email, and in-person interactions. Supporting program logistics, such as workshops and networking events, will be central, along with organizing files, ordering supplies, and tracking project deadlines to keep all activities on track.
Required Qualifications
A bachelor's degree in business administration, non-profit management, or a related field is preferred, though equivalent experience will be considered. At least two years of administrative or office coordination experience, ideally in a non-profit or community organization setting, is required. Proficiency in Microsoft Office Suite, Google Workspace, and basic database management tools like Salesforce or Excel is essential. Strong organizational skills and the ability to multitask in a fast-paced environment are non-negotiable.
Skills
Exceptional communication skills, both written and verbal, are crucial for interacting with diverse stakeholders, including volunteers, contractors, and community leaders. You should demonstrate keen attention to detail, problem-solving abilities, and cultural sensitivity, particularly in serving the Hispanic community. Time management and prioritization skills will help you juggle multiple projects, while a proactive attitude and adaptability to volunteer-driven workflows will ensure success. Familiarity with non-profit operations, event planning, and virtual meeting platforms like Zoom is highly desirable.
