By managing telecommunications systems, you directly contribute to the smooth operation of our practice, enhancing client satisfaction and operational productivity in our Pearland, TX office.
Your day-to-day responsibilities will revolve around operating and maintaining advanced telecommunications equipment, including multi-line phone systems, VoIP platforms, and call routing software. You will handle a high volume of incoming calls from clients, opposing counsel, courts, and vendors, screening and directing them to the appropriate attorneys or staff with utmost professionalism and confidentiality. Daily tasks include logging call details, scheduling appointments via integrated calendars, and troubleshooting minor technical issues such as line static or connection drops to minimize disruptions. Weekly, you will generate reports on call volumes, peak times, and response metrics to optimize system performance and inform staffing decisions. Monthly responsibilities encompass system backups, software updates for PBX systems, and coordination with IT for hardware maintenance, ensuring 99% uptime. You will collaborate closely with receptionists, paralegals, and attorneys, providing real-time support during high-stakes depositions or court hearings. Additionally, you may train new staff on phone etiquette protocols and manage after-hours emergency lines, occasionally overseeing temporary operators during peak periods.
Ideal candidates bring a high school diploma or equivalent, supplemented by vocational training or an associate's degree in telecommunications or information technology. We require at least 2-3 years of experience in a telecommunications operator role, preferably within a professional services environment like law firms or medical offices, where handling sensitive information is routine. Proficiency in telecommunications software such as Avaya, Cisco Unified Communications, or RingCentral is essential, along with familiarity with switchboard operations, voicemail systems, and basic networking protocols. Knowledge of legal terminology and procedures is a plus, as is any certification like Certified Telecommunications Analyst (CTA) or CompTIA Network+.
