As a Patient Intake Specialist, your day-to-day involves greeting patients and families via phone or online portals, gathering comprehensive demographic and medical histories to initiate care plans. You will verify insurance eligibility daily using systems like Availity or payer portals, ensuring accurate coverage details and prior authorizations to prevent delays. Weekly, coordinate with clinical teams to schedule initial assessments and resolve intake discrepancies, while documenting all interactions in EHR systems such as Epic or Homecare Homebase. Monthly tasks include auditing intake records for compliance with HIPAA and state regulations, generating reports on intake volumes and conversion rates, and collaborating with billing departments to minimize claim denials. Expect to manage high call volumes, triage urgent referrals, and partner with sales teams to convert leads into active patients, all while tracking key metrics like intake completion time under 24 hours and accuracy rates above 98%. To succeed, candidates need a high school diploma or equivalent, with an Associate's degree in healthcare administration or related field preferred. At least 2 years of experience in medical intake, insurance verification, or customer service within healthcare is required, ideally in home health or pediatrics. Proficiency in EHR software, insurance portals, and Microsoft Office is essential, along with strong knowledge of medical terminology, ICD-10 coding, and HIPAA compliance. A certification like Certified Healthcare Access Associate (CHAA) is highly desirable.
